Getting started with QCIN
Five steps get your team up and running. Below them is a short tour of every module.

Sign in
Go to Sign in and choose Continue with Google, your email and password, or Email me a magic link (a one-time sign-in link). New here? Create an account — if you sign up with email you'll get a confirmation link first. Once signed in, your profile picture or initial appears at the top-right: click it to see your account details, workspace and role, open your preferences or this guide, or sign out.

Create your company workspace
If you signed up with a company name, your workspace is ready. If you signed in with Google, the dashboard asks for your company name — click Create workspace. Whoever creates the workspace becomes its owner, and QCIN sets up a first plant called “Main Plant”.

Invite your employees
As the owner, click the small floating button at the bottom-right of the dashboard and choose Invite employees (or go to Settings → Users & roles). Enter their work email and pick a role. If they already have a verified QCIN account they're added straight away. Otherwise they get an invitation email and join automatically once they sign up with that email — or continue with Google using it — and verify it. Invitations expire after 14 days, and you can cancel a pending one at any time.

Manage members
In Settings → Users & roles, admins can change roles or remove members. Only the owner can make someone a Company Admin, and nobody can remove the owner or change the owner's role. Invited members share the same dashboard and records, limited by their role. They don't see the owner's floating management button.

Set up your workspace
In Settings: name your company and turn on workflow rules (for example, automatically raise an NCR when an inspection fails, require containment and effectiveness checks, and how many days before overdue NCRs escalate). Add your plants and lines, and add custom fields to NCRs, complaints and lots. Each person can turn email notifications on or off under My preferences.
Roles & permissions
- Company Admin
- Full control: settings, users, approvals and all modules.
- Quality Manager
- Runs the QMS: approves documents, assesses competence, manages NCR/CAPA, audits and suppliers.
- Inspector
- Performs inspections, records calibrations and audit findings, raises NCRs.
- Operator
- Runs inspections and records traceability on the shop floor.
- Customer Service
- Handles complaints, RMAs, warranty and customer communication.
- Auditor
- Plans and conducts audits; read access everywhere else.
- Viewer
- Read-only access to dashboards and records.
What each module does
Dashboard
- Quality numbers for the last 90 days: First Pass Yield, scrap rate, defects per million (PPM), Cpk/Ppk and cost of poor quality.
- A First Pass Yield trend chart and a defect Pareto chart, with filters for plant, shift and date range.
Inspections & checklists
- Build checklists from scratch or from ready-made templates. Steps can be Pass/Fail, measurements with spec limits, notes, photo evidence or barcode scans.
- Run an inspection on a phone or tablet: out-of-spec measurements are flagged as you type, and you can add photos or video, scan lot codes and sign on screen.
- From a finished inspection, trace the lot or raise an NCR.
NCR & CAPA
- A step-by-step workflow: Containment → Root cause & CAPA → Effectiveness → Closed. Required steps can't be skipped.
- Root-cause tools: 5 Whys, a fishbone (Ishikawa) diagram and 8D fields.
- Containment, corrective and preventive actions, each with an owner and due date. Overdue items are flagged, and you can print or save as PDF.
Customer quality (complaints & RMA)
- Log a complaint with its channel, details, lot number and attachments. Track status, severity and response time against each customer's SLA.
- Talk it through in a conversation thread with internal notes, and raise a linked customer 8D/NCR.
- Issue RMAs (returns) with quantity and reason, plus optional warranty claims with their status and approved amount.
Customer portal
- Customers whose email is saved on their customer record sign in with a magic link.
- They can report issues, see and discuss their cases, see root cause, closure and return status, and view documents you've shared with them.
Traceability
- Register lots and search by lot, serial or supplier lot. Put a lot on hold with a reason, or release it.
- Link inputs to outputs (genealogy), see recall impact including which customers are exposed, and record shipments.
Suppliers
- An approved supplier list with contact details, ISO certificate expiry and approval status.
- Automatic A–D scorecards with a monthly trend chart. Upload Certificates of Analysis and accept or reject them.
Documents
- Controlled documents with file upload, revision history, a review interval, and the roles who must read each one.
- Admins and quality managers approve or reject. Readers confirm with “Read & understood”, and documents due for review are flagged.
Calibration
- A gauge register with calibration intervals and status. Record calibrations with as-found and as-left values and a certificate.
- Print a QR-code label for each gauge.
Audits
- Schedule internal, process, product, supplier, customer or certification audits with a checklist and lead auditor.
- Record results and findings, raise an NCR/CAPA from a finding, and print the report or save it as PDF.
Training & competency
- Define skills and the roles that need them, and assess people on a competency matrix with an expiry date. Only admins and quality managers can assess.
- Record training with attachments, and see each person's skills, acknowledged documents and required reading.
Reports
- Nine reports, including a KPI summary, inspection log, NCR & CAPA register, complaints & SLA, supplier scorecards, calibration status and audit programme. Download each as CSV, Excel or PDF.
Notifications
- The bell shows overdue NCRs and CAPA actions, SLA breaches, calibrations due, audit findings, expiring skills and documents due for review. These can also be emailed to you.
Plan & billing
- See your current plan and compare plans. Online payment isn't live yet — upgrades go through the Contact sales link.
Offline & mobile
- Install QCIN on your phone (it's a web app you can install). Inspections finished offline are saved with their photos and signature, and sync automatically when you reconnect.
- The scanner reads barcodes and QR codes with your camera, or you can type the code in.
